These instructions assume you have already installed the copier printer driver. If you haven’t already completed that step, please install the driver first.
Depending on the type of copier you are using, follow the instructions below that match the dialog boxes on your copier print driver.
Windows | macOS
Add your copier billing code in Windows
- In Windows search for Printers & Scanners
- If you have already added the copier, click the arrow beside the name of the printer
- Click on Printing Preferences
- If you see the Basic tab click the User Code Setting box –or—if you see the Frequently Used Settings tab click the Details box
- Enter your copier billing code
- Click OK
- Click Apply
- Click OK
Add your copier billing code on macOS Sequoia (15) or newer
Step 1: Open the Print Window
- In Microsoft Word, open your document
- From the top menu, click File then click Print, or press Command + P
Step 2: Select the Printer
- In the Printer dropdown, select your Ricoh copier
- Wait briefly for the Ricoh driver options to load
Step 3: Open Job Log or User Code Settings
- Click the dropdown menu that typically shows Layout, Media & Quality, or Copies & Pages
- Choose Job Log or Job Log / User Code from that menu
Step 4: Enter Your Print Code
- In the Job Log section, find the User Code field
- Enter your assigned copier billing code
- Ensure Job Type is set to Normal Print
Step 5: Save as a Preset
- At the top of the print window, open the Presets dropdown
- Select Save Current Settings as Preset…
- Name it Print Code
- Under Available for, choose Only this printer
- Click OK or Save
Step 6: Use the Preset
- Next time you print, open the print dialog (Command + P)
- Select your Ricoh copier
- From the Presets dropdown, choose Print Code
- Confirm the print code is still entered, then click Print
Step 7 (Optional): Set the Preset as Default
- With your preset selected, change Presets: Default Settings to Last Used Settings
- macOS will now reuse your Ricoh preset automatically
